At myCHName, we are committed to protecting your privacy and ensuring the highest level of transparency regarding how we handle your personal data. This Privacy Policy governs your use of myCHName.com ("the Service").
1. Information We Collect
We collect the following categories of personal information to provide a highly personalized cultural experience:
- User Inputs: First name, last name, gender aesthetic preferences, and personal stories/traits (Necessary for service delivery).
- Account Data: Email address and authentication data (e.g., via Google Auth). Your name and profile picture may also be collected if provided by your authentication provider.
- Technical Data: IP address (stored for security, fraud prevention, and compliance with export control laws), browser type and version, device type, and operating system.
- Usage Data: Referring website, pages visited, time spent on our Service, and clickstream data.
We use third-party payment processors (e.g., PayPal) for secure transactions. myCHName does not store or process your full credit card numbers. The processor may collect your billing address and cardholder name; we only retain the last four digits of your card and the transaction ID for receipt purposes.
2. How We Use Your Data & Legal Basis
As required by applicable global privacy laws (including China's PIPL, EU's GDPR, and CCPA), we process your data based on the following legal grounds and purposes:
2.1 Performance of a Contract (Service Delivery): To generate your bespoke Chinese names, audio pronunciations, and digital folios. This service involves automated decision-making using our AI models, which is essential for fulfilling the service contract. You have the right to object to purely automated decision-making, but this will prevent us from automatically generating your digital assets. As an alternative, you may request a human review of any generated results you are dissatisfied with, and we will provide further support to the best of our ability.
2.2 AI Processing (Performance of a Contract & Consent): Sending your inputs to our AI service partners is essential to fulfill your purchase. We do not use your personal identifiable information (PII) to train public AI models. While data is used strictly to fulfill your request, we may retain anonymized logs of your inputs for up to 30 days solely for system debugging and abuse prevention.
2.3 Legitimate Interests: To analyze aggregated, anonymized user behavior to improve our algorithms, detect and prevent fraud, and comply with export control screening.
2.4 Legal Obligation: To retain transaction records for tax and regulatory compliance.
3. Data Storage, Security & Retention
3.1 Storage Location: Your personal data is stored on servers located in Singapore. Our AI service providers are also located in Singapore, and your input data will be processed on servers in Singapore.
3.2 Security Measures: We implement robust technical and organizational measures, including TLS 1.2+ encryption for data in transit, AES-256 encryption for data at rest, and strict Role-Based Access Control (RBAC).
- Active Accounts: Data is retained as long as your account remains active.
- Inactive Accounts: If you have not logged in for two (2) consecutive years, we will send a warning email 30 days before permanently deleting your account and associated assets.
- Transaction Records: Retained for seven (7) years to comply with applicable tax laws.
- AI Input Logs: Retained for a maximum of thirty (30) days, fully anonymized, for debugging purposes.

We ensure such transfers comply with applicable laws, including entering into Standard Contractual Clauses (SCCs) where required. By using our Service, you explicitly consent to such cross-border data transfers.

5.1 Cookies and Similar Technologies We Currently Use: We currently use strictly necessary cookies for login, guest sessions, CSRF protection, abuse prevention, and service security. We also use limited browser local storage for guest usage records, claimable batch IDs, authentication UI cache, and cross-tab favorite synchronization.
5.2 Optional Cookies: Preference cookies and Analytics cookies are optional. Google tag may load before opt-in with Consent Mode set to denied, but analytics cookies and full analytics events only activate after we obtain your prior explicit consent. If you enable Analytics, Microsoft Clarity and Google Analytics may help us review public page heatmaps, session replays, traffic sources, page views, click behavior, scroll depth, and experience friction. We keep ad storage disabled and mask sensitive form content.
5.3 Managing Cookies: You can withdraw or modify your consent at any time by clicking the Cookie Preferences link in our website footer. Essential cookies are always enabled to ensure the proper functioning of our Service, and disabling them will affect access to core features.
